Pros On JobTrail
Built for the way pool service runs — from the Monday route to the statement at the end of the month.
Based on JobTrail customer data, 2026.
Everything a pool service business needs
Route software usually covers the stops and the invoice, then leaves your people, your trucks, and your paperwork to three other apps. JobTrail carries all of it, and every plan includes the full set.
Scheduling
Weekly rounds by weekday and date range, five calendar views, and a warning before you double-book a tech.
Customers
Every pool, gate code, contact, and account balance on one record — with the aging on what they owe.
Estimates
Price a pump swap or a heater with line items and tax, then turn it into an invoice in one click.
Invoicing
Bill the month, clone last month’s invoice, record partial payments, and see who is 60 days behind.
Job reports
Turn visit and repair photos into a branded PDF for the homeowner or the HOA board, with a share link.
Crews & teams
Give each route tech a color and a calendar row, and swap the crew for a week without touching the default.
Time off
Techs request days off, balances accrue on their own, and a tech on leave is flagged when you cover a route.
Job conversations
A thread on every job and customer with mentions and an inbox, so “the pool is green again” has a home.
Assessments
Score a route check against your own checklist — skimmer baskets, water level, deck rinsed — and keep the result.
How a pool service job runs in JobTrail
Set the route
Create the job, switch the schedule to Weekly, tap the weekday for that neighborhood, and set the season’s start and end. Every stop lands on the calendar.
Service the pool
The tech opens Field Mode, reads the gate code and filter type, works down the scope, and shoots the photos. Status moves to Completed as lines get ticked.
Bill the month
Raise the invoice for the account, clone it next month, record payments as they land, and pull a statement when a customer asks what they owe.
The parts of a pool route that eat your week

Put a season of stops on the calendar
Switch the job schedule to Weekly, tap the weekday you service that street, and set the season’s date range. JobTrail creates every visit between those dates and lists them for review before you save. Move one pool to a different day without rebuilding the rest.
- Repeat On weekday picker — Tuesdays for one neighborhood, Fridays for another
- Set a start and end date and preview every stop it creates
- Weekly, multi-day, and single-visit modes on any job

Pump, filter, and gate code on the address
Add Property Details to any address — pump model, filter type, heater, salt cell, gate code, the dog’s name. Define the fields once in Settings and every pool you service carries them. The tech reads them in Field Mode before opening the gate.
- Custom fields as text, number, or a dropdown you define
- Shown on the tech’s phone under the address, on site
- Past visits and repairs sit on the same customer record

Every repair sits beside the weekly visits
A failed pump or a leaking heater becomes its own job on the same customer. Price the part on an estimate, convert it to an invoice, and the repair lands in the customer’s history next to the weekly stops. Next season, you can see what was replaced and when.
- Repair jobs and route visits on one customer record
- Estimate for the equipment, invoice in one click
- Sub-tabs for jobs, estimates, invoices, and payments

The tech’s screen: scope, photos, sign-off
Field Mode gives a tech the day’s stops and nothing else. They tick off the scope — skim, brush, empty baskets, backwash — and add photos by stage. Spot a cracked skimmer lid or a pump that sounds wrong and raise a flag with a photo.
- Photos tagged Before, During, After, and Final per visit
- Flag a cracked lid or a bad pump with a photo
- Completion certificate signed on the phone for repairs

A whole season of rounds in one pass
Most pool routes are the same streets on the same weekday from opening to closing. JobTrail treats each pool as one job with a Weekly schedule. Pick the weekday with Repeat On, set the season’s start and end date, and every visit lands on the calendar. Each tech gets a My Schedule view of their own stops. When someone is out, a dated roster change covers the route for that week and the default crew comes back on its own. Approved leave shows up while you are building the crew, so you catch it before Monday morning.
- One weekly job per pool carries the season’s stops
- My Schedule view for every route tech
- Roster changes for a week, default crew untouched

Pump, filter, and repairs on the record
Every equipment pad is different, and the tech who knows it is not always the one who shows up. Put the details on the address: pump model and horsepower, filter type and cartridge size, heater, salt cell, and where the breaker sits. Define those fields once in Settings and they appear on every pool you service, including in Field Mode on the phone. Repairs are their own jobs on the same customer, so a pump replacement in June sits right beside the weekly visits. Photos of the pad from each stop stay under their stage tags. When the customer asks what was done last summer, it is one click away.
- Equipment fields defined once, shown on every address
- Repair jobs and estimates on the same customer
- Visit photos kept by stage, per job

Billing the month without the spreadsheet
Monthly service accounts are simple until forty of them are due at once. Raise the invoice for each account, or clone last month’s and change the date. Record payments as they arrive — check, card, cash, or bank transfer — including partial ones. Anything unpaid shows in your receivables with an aging breakdown across current, 30, 60, and 90+ days, so you know which accounts to call first. If a customer overpays, the extra becomes a credit you can apply next month. When someone asks for a statement, pull one with a running balance for the dates they want and hand it over.
- Clone last month’s invoice for repeat accounts
- Partial payments and credits recorded against the invoice
- Statements with a running balance, aging by bucket
“I used to rebuild the whole route in a spreadsheet every spring, and I’d still miss a stop. Now I pick the weekdays, set the season, and it’s on the calendar — every tech sees their own list on their phone.”

What is pool service software?
The system a pool company runs its route, repairs, and billing on. The real difference between tools is how much of the season they hold.

Why the last two rows set the real price
Route tools tend to stop at the route and the invoice. Payroll for your techs, time off, truck maintenance, and gate-access paperwork each turn into another subscription and another password. Add those together and you have the real monthly cost of running the business. JobTrail ships every one of them in every plan, so the price on the pricing page is the whole bill.
Pool service is also more than one kind of week. The same company runs weekly cleanings from April to October, adds a filter rebuild on Thursday, and quotes a heater replacement on Friday. In spring it stacks openings, in fall it stacks closings. Software that covers only the weekly stops pushes the repairs, the equipment estimates, and the seasonal jobs back onto paper.
The stops that hurt are the ones nobody recorded
A tech swaps a cartridge and never notes the size, so the next tech guesses at the supply house. A homeowner says the pool was skipped and there are no photos to show it was not. A repair from last season lives in someone’s texts, and the customer disputes the bill. Each of those is a missing record before it is a pool problem, and each costs a callback or a credit.
Then there is the season itself. Every spring the route gets rebuilt by hand, stop by stop, and every fall the closings pile up on top of the last weeks of service. Meanwhile monthly accounts drift — one paid, one partial, one three months behind — and the spreadsheet stops matching the bank. Put the weekdays and the date range in once, invoice the accounts from the same record, and the calendar and the receivables agree.
Pool service software questions, answered
The one that holds the whole season — weekly stops, repairs, monthly billing — without charging per module. A one-truck route and a ten-tech company both need the calendar, a record of what each pool has, and invoicing that keeps up with forty accounts. The smaller operation feels the add-ons more, because a separate payroll app, truck log, and messaging tool cost as much as the core product. Compare total price with everything switched on, and check that a tech can run their day from a phone.
Yes. Set the job schedule to Weekly, choose the weekday for that group of pools with the Repeat On picker, and set the season’s start and end date. JobTrail creates every visit in that range and shows the full list before you save. Each tech sees their own stops in a My Schedule view. Two things it does not do: it will not reorder your stops for the shortest drive, and it will not bill the visits automatically — you raise the invoices.
No. JobTrail does not record test readings or work out how much acid or chlorine to add. What it does hold is everything around the visit: photos of the pool and the pad at each stop, notes on the job, and a flag with a photo when something looks wrong. A Property Details field on the address keeps standing chemical notes — salt system, high CYA, a customer who wants no tabs in the skimmer. Your test kit and your log stay yours; the visit record lives in JobTrail.
On the address, as Property Details. Define the fields once in Settings — pump model, filter type and cartridge size, heater, salt cell, gate code, dog on site — as text, number, or a dropdown, and every pool you service carries them. They show in Field Mode on the tech’s phone, so a fill-in tech reads the gate code and the cartridge size at the curb instead of calling you. Custom roles can hide a field from people who should not see it.
As their own jobs on the same customer. When a route tech flags a dying pump, price the replacement on an estimate with line items and tax, and convert it to an invoice in one click once the customer agrees. Schedule the repair as a separate job, tick off the scope, add the photos, and have the customer sign the completion certificate on site. The customer record then shows the weekly visits, the repair, the estimate, the invoice, and the payments in one history.
Yes, and this is where the spreadsheet usually breaks. Raise an invoice for each account, or clone last month’s and change the date, then record payments — full or partial — as they come in. Overpayments become customer credits for the next month. Aging shows who is current and who is 60 or 90 days behind, and you can generate a statement with a running balance for any date range. JobTrail does not charge cards or bill accounts automatically, and it does not send payment reminders.
Yes. Field Mode is the crew’s phone screen. A tech opens it and sees only their own stops, the scope for each, the Property Details for that address, and the photo upload by stage. As they tick off scope lines the job moves from Scheduled to Ongoing to Completed on its own. Flags with a photo or video go straight to the office. There is no GPS tracking and no clock-in — Field Mode is about the work at the pool, not where the truck is.
Yes. An opening or closing is a single job with its own time slot, crew, and scope — pull the cover, reconnect the pump, prime, balance — ticked off in Field Mode with photos. A bigger job that runs across days, like a drain and acid wash, uses Range mode so several days stay one job with one history. Seasonal jobs and the weekly route sit on the same calendar, so you can see the crunch weeks in spring and fall before you take on more.
